MINUTES OF THE TWENTY-THIRD ANNUAL GENERAL MEETING OF THE HERTFORDSHIRE GROUP OF THE HARDY PLANT SOCIETY
Held at the Memorial Hall, Wheathampstead on Saturday, 5th November 2011

Apologies for absence were received from Judy Barker, Margaret Easter, Lesley Hopkins, Rod and June Liming, Yvonne Mansergh, Barbara Stalbow, Colin and Starr Thomas, Alison Towersey, Rita Woodward.
1. MINUTES
The minutes of the meeting held on Saturday, 6th November 2010, which had been circulated, were agreed and signed as a correct record.

2. MATTERS ARISING
There were no matters arising.
3. CHAIRMAN’S REPORT
The Chairman referred to her report, which had been set out in the last newsletter. In addition, she pointed out that in order for the group to continue to function, we desperately need more volunteers to come forward to stand as Committee members. She had agreed to stand for one further year as Chairman but will definitely be standing down next year. In addition, although the Speakers are booked for 2012, a new Indoor Programme Organiser is needed. Irene has already continued as Newsletter Editor for an extra year, and Sue will be standing down from Plant Sales next year.

4. TREASURER’S REPORT
The Treasurer referred everyone to her report which had been circulated. Although Speaker costs had risen considerably due to the booking of some well known names, we had budgeted for a deficit (which was only £226) and we still have a healthy bank balance. The amount raised on the Members’ Plant Stall often covered the costs of the afternoon indoor meetings, and she thanked everyone who donated plants.

5. ELECTION OF CHAIRMAN
Anne Godfrey was re-elected as Chairman.
Proposed by Margaret Bardell; seconded by Elizabeth Hunter
6. ELECTION OF VICE CHAIR
Elizabeth Egré was elected as Vice-Chairman (with the understanding that she does not wish to become Chair)
Proposed by Peter Osborne; seconded by Diana Garner
7 ELECTION OF SECRETARY, TREASURER, MEMBERSHIP SECRETARY
Heather Osborne, Janet Horton, Diana Barry were all re-elected.
Proposed by Dennis Sandor; seconded by Sue Tomson
8 ELECTION OF NEWSLETTER EDITOR
As no nominations had been received for Newsletter Editor, Irene Cowan had kindly agreed to continue in the role for the time being

9 ELECTION OF COMMITTEE MEMBERS
Stephen Dudley, Sue Jaye, Edwina Robarts, David Singleton and Rosamund Willis were re-elected.

10 ELECTION OF EXAMINER
Michael Foers was re-elected as examiner and thanked for the excellent work he does in checking our accounts.

11 ANY OTHER BUSINESS
- David Singleton as Technical Manager needs a seconder in case of absence / illness – members were asked to approach him so that he can explain the setting up of sound system etc. for the monthly meetings.
- Irene Cowan appealed for plant based articles for the Newsletter.
- Michael Foers proposed thanks to Annie and all the Committee for their hard work.
The meeting closed at 2.12pm.
